Learning & Development Advisor

Role: Learning & Development Advisor

Purpose of role: the purpose of the role is to guarantee, in coordination with and reporting to L&D Manager, that training and development needs are covered in Iberia according to business needs and in alignment with corporate strategy
Reports to: Learning & Development Manager

Location: This role will be bases in Madrid with occasional travel.
Key Responsibilities:
  1. Implementation of the Training Plan every year in Spain and Portugal:
    • Organise training activities as per the plans (groups, venue, material, trainers, travels, invoices).
    • Communication Plan for all activities and coordination with the stores.
    • Research of external suppliers.
    • Collaboration in content creation.
  2. Tracking training hours annually in Spain and Portugal
    • Register all training activities to compile number of training hour and number of employees trained every year.
    • Follow up on all training activities managed by the stores and keep records updated.
    • In Portugal, track that 35 hours of training are delivered to each employee every day.
  3. Induction of new employees from Regional Office:
    • Prepare the induction documentation and materials for the new employee.
    • Prepare agenda for the first day and training plan if needed.
    • Welcome the employee the first day, corporate presentations, visit of facilities and introducing the Regional Office Team.
  4. Training plans for new employees:
    • Prepare training plans considering the models for each position and manage adaptation if required.
    • Request travel and accommodation for the new employee if needed.
    • Coordinate communication within all parties involved.
    • Support the review of all models to make convenient adaptions when needed.
  5. New Stores:
    • Organise the training activities for a new store opening (venue, prepare and deliver the material, coordinate the trainers team and organize their travels and accommodation).
    • Support with the communication plan with the stores and the new store.
    • Support with content adaptation if required.
  6. Support on L&D content review:
    • Employee handbook and adaptation to both languages.
    • Retail Global induction.
    • Training Plans.
    • New Stores training program.
    • Retail Supervisor Development program.
    • L&D presentations.
  7. FUNDAE (training grants)
    • Coordinate the communication of each activity is settled on time.
    • Preparation of required documentation for each activity.
    • Send back all signed documentation to FUNDAE and manage invoices and costs.
    • Follow up after implementation with the stores and offices.
Corporate programs
  1. Support on reviewing adaptation for Iberia.
  2. Support on managing communication plan.
  3. Follow up after implementation with the stores and offices.
  1. Make your Primark:
    • Support on making sure Iberia Market accomplish with the completion deadline.
  2. Career paths:
    • Support on creation of career paths for all positions.
  1. To be the requisitioner in PIAT to manage all purchase orders for L&D area.
  2. To follow up invoices with the suppliers and guarantee payment is settle on time.
  3. To register all invoices in the tracker file and keep copies in the share drive.
  4. To guarantee Fundae requirements for invoices related to training grants, are accomplished.
  • Assign PO
    • Requistioner for all PO’s requested by the P&C department.
    • Assign costs to each account.
    • Liase with each P&C Manager.
    • Follow up and archive P&C Invoices.
  • Invoice management. Working with suppliers to achieve the invoices, introduction of invoices through PIAR system and Send Invoices to Dublin Payment Department.
    • Manage Iberiap&cinvoices inbox.
    • Requisitioner for all PO’s requested by the P&C Department.
    • Manage IPOS and assign requistioners.
    • Assign costs to each account.
    • Liase with each P&C Manager.
    • Follow up and archive P&C invoices.
    • Provide information to suppliers on pending payments.
    • Contact with Finance in Dublin for any matter related to PIAT.
    • Point of contact with the travel agency to manage all the invoices related to the department.
  • P&C Department
    • Support on travel and expenses (concur, travel request, etc) managers in the department.
    • Manage and prepare orders from the stores or to them, material or other needs. (ie. Files, material, banners.

Essential knowledge, skills and experience:
  • Experience in managing L&D function within Retail / hospitality sector.
  • Human Resources qualification.
  • Experience in managing a team.
  • Solid experience in design, delivery and evaluation of training and development initiatives.
  • Excellent training, facilitation and presentation skills.
  • Strong influence skills.
  • Solid experience in design, delivery and evaluation of training and development initiatives.
  • Excellent training, facilitation and presentation skills.
  • Strong role model with a coaching style.
  • Commercially-focused and service-oriented.
  • Relationship-building & customer-focused.
  • Manage change effectively.
  • Strong IT skills.
  • Experience working in a fashion retail environment will be a distinct advantage.
